How do I apply for a card?

To apply for a SkillPASS, your company needs to already be registered on SkillPASS and possess a SkillPASS company portal. You can contact Energy Skills Queensland to find out who your registered company administrator is/are. You then need to request your SkillPASS card from your company.

Whether employed or not, you can still apply for a SkillPASS on an individual basis. Your account will reside under the banner of ‘ESQ Holdings’. The individual will be required to relay financial details to Energy Skills Queensland in order to have a SkillPASS application processed. These details are destroyed after use as per our privacy rules.

Who do I contact if I have questions or problems regarding my card application?

Questions can be directed to your employer or SkillPASS Administration member within your company.

How will I receive my SkillPASS card?

SkillPASS cards are sent via Australia Post to the company that ordered the card. Once the company has received the SkillPASS card, it is the responsibility of the company administrators to distribute the SkillPASS card to you.

Does my card expire?

Yes. A SkillPASS card has an annual renewal requirement. To maintain a SkillPASS account, an annual renewal fee of $30 + GST is applicable. Renewals are dated to the original expiry date, rather than from payment and subsequent activation. Contact your SkillPASS administrator (or Energy Skills Queensland if you are an individual) to request a renewal. We advise requesting a renewal ahead of the expiry date, see below.

What happens if the annual renewal fee is not paid?

If the annual renewal fee is not paid your SkillPASS card will de-activate. This means the SkillPASS card will not be able to provide proof of competency and you may not be able to gain access to site. If your card is scanned and it states your registration is invalid, please contact your company administrator OR Energy Skills Queensland.

The SkillPASS card can be reactivated quickly and at any time after expiry by paying the renewal fee.

Can I work while my SkillPASS card is in transit?

Yes. If you are required on the job immediately before receiving your SkillPASS card, there are three options:

1.    Contact your company SkillPASS administrator who will be able to provide your skill extract to the job requestor/contact.

2.    Have your company administrator activate your access to the SkillPASS APP login. You will need to download the APP to your smart phone in order to access your unique profile. Through the APP you are able to view all current skills uploaded, add any additional skills/tickets/qualifications/certificates, and manage your personal details.

3.    Contact your company SkillPASS administrator or the SkillPASS administration team to request a temporary QR code and skill extract which can be sent to your email.

What if I am between employers?

You should first check that your profile has been transferred out from your previous employer. If it hasn’t been transferred, contact the administration team at Energy Skills Queensland for assistance. When you are not employed, your profile will be moved to the ESQ Holding account. Your details will be maintained there in the SkillPASS system. Your profile can be transferred to your new employer when you become employed again.

What format and size should my file be?

All files and evidence documents should be in PDF or JPG format, the system will allow files up to 2MB in size.

I received an email stating my qualification/skill document/ticket etc has been rejected; what should I do?

Energy Skills Queensland reserves the right to reject any document found unsuitable or that doesn’t meet the quality specifications set out by SkillPASS. If a document has been rejected, the company administrator will also have received an automated email alert providing reasons why the document was rejected, and how to fix this. It is the company administrator’s responsibility to rectify the issue and resubmit the relevant documentation. They will be in contact with you to discuss what is required.

How do I replace a lost, damaged or stolen card?

You can request a replacement SkillPASS card from your company’s SkillPASS Administrator.

A fee of $45 + GST is charged for a SkillPASS card replacement. Your company may require you to reimburse them for your lost card. The price of the replacement card covers the reprint cost and postage. It is important to note that card replacements are still subject to the annual expiry as per the original renewal date. By reprinting a card, this does not reset the renewal date. Therefore, if a reprint of a card is required but the profile is expired, you will also need to pay for the annual renewal fee in order to activate the profile.

How much does the SkillPASS card cost?

SkillPASS cards are $65 + GST. They are requested by your company administrator through the SkillPASS company portal. This amount covers the account set-up, card generation, postage and first year validity of the SkillPASS card.

Thereafter, only the annual registration fee is required to maintain the SkillPASS card validity.

Who pays for the SkillPASS card?

In most cases, the entity ordering the SkillPASS card will be responsible for the payment of the SkillPASS card.

If you are a sole trader, you will register your ABN details and pay for the card individually.

I’ve been sent a link to web-based training but I am having issues with it and cannot complete the web-based training. What do I do?

SkillPASS web-based training works most effectively with the compatible web browsers as outlined in the email with your unique link. These courses are monitored, tested and updated regularly across these specified compatible browsers. If you experience any issues with your course, there are a few items you should check for before contacting for assistance.

1.    Check your browser is up to date, and you are using one of the specified browsers.

2.    Try copying the hyperlink and pasting it into a different browser.

3.    Computers are preferred for functionality reasons; note that partaking in the course on a tablet or phone may yield unpredictable functionality issues.

4.    Check that you have disabled pop-up blockers, and/or cleared your browser cache.

What do I do if my web-based training link does not work?

If your web-based training link still does not work, please contact the Energy Skills Queensland SkillPASS Administration team via email at admin@skillpass.com.au to have a new training link sent to you. Alternatively you can call us to try to troubleshoot the web-based training for you.

Who do I contact to book training?

To book training, please contact your company’s SkillPASS Administrator who can book you into your required training. If you are unsure who your company SkillPASS Administrator is, please contact the Energy Skills Queensland SkillPASS Administration team via email at admin@skillpass.com.au

Do SkillPASS cards expire?

Yes. A SkillPASS card has an annual renewal requirement. To maintain a SkillPASS account, an annual renewal fee of $30 + GST is applicable. Renewals are dated to the original expiry date, rather than from payment activation. Renewals are actioned through the Expiries tab in the SkillPASS company portal.

Can employees work while their card is in transit?

Yes. If a worker is being sent to site immediately before receiving their SkillPASS card, there are three options:

1.    The company administrator can provide a skill extract of the employee’s profile to the job requestor/contact.

2.    The company administrator can activate the employee’s SkillPASS APP login via the login account management function inside their company portal. The worker will need to download the APP to their smart phone in order to access their profile. Through the APP the worker will be able to view all of their current skills uploaded to their profile, as well as add any additional skills/tickets/qualifications/certificates via the document upload function.

3.    The company administrator/or worker can contact the SkillPASS administration team to request a temporary QR code and skill extract be sent to their email.

How do I assign competencies to employee records?
Contractors or company administrators must provide details of employee competencies through the SkillPASS company portal. This is done through the upload document function on each employee’s profile. These competencies are sent through the system to be verified by the Energy Skills Queensland SkillPASS Administration team before they will appear on the employee’s profile. Allow one (1) business day for processing.

What format and size should my file be?

All files and evidence documents should be in PDF or JPG format, the system will allow files up to 2MB in size.

The employee’s skill document was rejected. What is the next step?

Energy Skills Queensland reserves the right to reject any document found unsuitable or that doesn’t meet the quality specifications set out by SkillPASS. If a document has been rejected, the company administrator will receive an automated email alert providing reasons why the document was rejected, and how to fix this. It is the company administrator’s responsibility to rectify the issue and resubmit the relevant documentation.

Company administrators can request a new card by logging in to the SkillPASS Registration portal and following the ‘Replacement Card’ instructions.

How will employees receive their SkillPASS card?

All SkillPASS cards are sent via Australia Post.

The card will be delivered to the nominated card mailing address as specified in the SkillPASS company portal. It is up to the company administrators to ensure this address is correct and checked regularly. Once SkillPASS cards are received, it is the responsibility of the company to distribute SkillPASS cards to their employees.

How much does a SkillPASS card cost?

If a card is lost or stolen the worker or company is liable for a SkillPASS card reprint. This can be requested via the Order Cards / Register function through the company SkillPASS portal (accessible to administrators only).

Company administrators are automatically reminded of any SkillPASS cards that are coming up for renewal. Company administrators can at any time also check the status of all cards and/or skills expiring for their working cohort via the Expiries tab inside their SkillPASS company portal.

Note – this is for company administrators only. A worker will not be able to access their individual profile online, but rather they are meant to use their dedicated SkillPASS APP which was designed to be downloaded to their smartphones so that it can be used on-the-go.

If an employee comes to you requesting their login details please ensure they are not provided with the company level SkillPASS administrator logins. Instead, an administrator can authorise the workers access to their individual profiles via the SkillPASS APP. How long does it take for SkillPASS to verify uploaded documentation?

Uploaded documentation will be verified within one (1) business day. Energy Skills Queensland business hours are Monday to Friday, 8.30am to 5pm AEST (excluding QLD public holidays).

What training do my employees need to do?

SkillPASS provides a booking system for both web-based and instructor-led training. The decision on what training is required rests with the company.
